Compliance management

Every statutory check,
scheduled and evidenced.

QR-Inventory is the compliance system of record for the assets you are a duty-holder for. Define the inspections you owe, let every asset inherit them, and fulfil them at the asset with a scan — leaving a tamper-evident trail you can hand to an auditor.

Relied on by teams who can't afford to fail an inspection.

The stakes

A missed inspection is a missing defence.

Compliance rarely fails because nobody cared. It fails because the due date sat in one person's spreadsheet, the certificate went to an inbox, and the check that did happen left no proof it happened. When an inspector, insurer or claimant asks for the record, intent counts for nothing — only dated, attributable evidence does. Spreadsheets don't survive an audit.

The platform

Configured once, then it runs itself.

You set the compliance types, frequencies and what a fulfilment must capture. After that the system assigns the work, chases the people who owe it, and files the evidence against the asset.

Lead capability

Scheduled inspections that can't quietly lapse

Every requirement carries a frequency and a next due date. A daily automation raises what is coming due, emails the people responsible, and pushes dates into their calendars. Overdue items surface on a live dashboard instead of being discovered by an inspector — so a missed check becomes visible, not invisible.

Lead capability

Certificates held against the asset, not an inbox

Certificates are uploaded at the point of fulfilment — from a phone, on site — and attached to the asset for life. Re-issues supersede rather than overwrite, so the version history survives. Anyone with permission scans the tag and sees what is in date, what expired and what the evidence says.

Compliance types you define

Create the types you are a duty-holder for, set each frequency, and configure what a fulfilment must capture — result, photo, certificate, engineer.

Category inheritance

Assign a type to an asset category once. Every asset in it inherits the requirement and its due dates — including assets added months later.

Daily automation & reminders

A scheduled job reviews every requirement each day, raises what falls due and emails the responsible people before the date passes.

Fulfil at the asset

Scan the tag to see what is outstanding and complete it there — result, photo and certificate captured on a phone, online or off.

Live status & overdue view

In date, due soon, overdue — per asset, per category, per site. Exceptions rise to the top so attention goes where the risk is.

Organisation isolation

Every compliance type, requirement and record belongs to one organisation. Nothing leaks between tenants, teams or client contracts.

Regimes we already model

One register for every duty you hold.

Because you define the compliance types, nothing is locked to a single regime. These are the ones customers set up first — each with a dedicated walkthrough.

Fire doors Quarterly communal and annual flat-entrance-door checks, self-closer results and photo proof. Fire door compliance →
Gas safety Annual gas safety records against the property, with reminders for landlords and instant access for tenants. Gas safety certification →
PAT testing Electrical appliance testing schedules, results and certificates held against each appliance. PAT testing →
Payment devices Card terminals and PEDs inventoried and tamper-inspected on a defined cadence, with a defensible trail. PCI DSS compliance →
PPE & training Protective equipment issue and operator competency, checked before equipment is released for use. PPE & training compliance →
Estates & equipment Plant, lifting equipment, hire fleets and building services on one statutory calendar. Facilities management → · Equipment & tool hire →

QR-Inventory produces the defensible record that proves your checks happened. It does not, by itself, make an organisation compliant — the regimes that apply to you, and their scope, should be confirmed with your own competent adviser.

Chain of custody

An unbroken record, written as it happens.

Nothing is editable after the fact. Every fulfilment, certificate, reminder and defect is appended, attributed and sealed — so the compliance history you present at an inspection is the history that actually happened.

Tamper-evident by design

Each entry is hashed and chained to the last. Any alteration is detectable.

Time-stamped & attributed

Who, what, where and when — captured automatically at the point of scan.

Defensible at any inspection

Export a complete, signed evidence pack for a single asset, a building or the whole estate.

Records & certificates

Every check, every certificate — findable in seconds.

A record is generated against every fulfilment, attached to the asset, and superseded — never deleted — when re-issued. The next due date is set the moment the current one is closed, so the cycle never has to be restarted by hand.

  • Auto-generated record per fulfilment, versioned
  • Next due date scheduled automatically on completion
  • Failure raises a ticket, withdraws the asset, closes on re-check
  • Bulk evidence-pack export for auditors, insurers and regulators
How it works

Define it. Assign it. Prove it.

Set the rules once and the asset carries them. The physical thing becomes the front door to its own compliance record — no logins to hunt for, no spreadsheet to find.

STEP 01

Define

Create the compliance types you hold duties for, set the frequency — monthly, quarterly, six-monthly, annual — and configure what each fulfilment must capture.

STEP 02

Assign

Attach the type to an asset category once. Every asset in it inherits the schedule, and anything added later inherits it automatically.

STEP 03

Prove

Staff scan the asset to fulfil the check and upload the certificate. You export a dated evidence pack for one asset or the whole estate.

FAQ

Compliance management, answered.

Does QR-Inventory make my organisation compliant?
No software does. QR-Inventory gives you the scheduled checks and the tamper-evident evidence that proves the checks were carried out — which is what an auditor, inspector or insurer actually asks to see. Your obligations and their scope should be confirmed with your own competent adviser.
Which compliance regimes can I track?
Any recurring inspection or certification you can define. Customers typically start with fire doors, gas safety, PAT testing, payment devices and PPE, then add their own types. Nothing is hard-coded to one regime.
How do reminders work?
A daily automation reviews every requirement in your organisation, raises the ones falling due and sends email reminders to the people responsible. Due dates can also be pushed to calendars, so the work lands where the team already looks.
Do new assets pick up the right schedule automatically?
Yes. Compliance types are assigned to asset categories, so any asset added to a category inherits that category’s requirements and next due dates without anyone remembering to set them.
Can inspections be completed on site with no signal?
Yes. Scanning and fulfilment, including photos and certificate capture, work offline and sync automatically once a connection returns.
Can we export evidence for an audit?
Yes. Export a complete, dated evidence pack for a single asset, a building or the whole estate — every fulfilment, certificate, defect and reminder, in the order it happened.
