The duty has a name on it.
An inspector does not ask for your filing system. They ask who was responsible, whether the check was in date, and to see the record. Under LOLER that is the duty holder. Under the Fire Safety Order it is the Responsible Person. Under CQC it is the registered manager. A spreadsheet that anyone can edit is a weak answer to a question with a name attached. Spreadsheets don't survive an audit.

These are the compliance drivers on the demo form. Each one is a rule, a person who carries it, a check captured on the asset, and a pack you can export.
The duty is attached to a person, not a folder.
The record names them: the LOLER duty holder, the employer under PUWER and the Electricity at Work Regulations, the Responsible Person for fire doors, the CQC registered manager, and the person who released a calibrated instrument for use.
What you hand to the inspector.
The check, the name, the date, and the certificate, for one asset or the estate. Re-issued records are superseded and kept, so the pack you export is the history that was written at the time.
LOLER
Thorough examination of lifting equipment by a competent person, at the interval in regulation 9 — commonly six or twelve months, or an examination scheme. The report sits on the machine.
PUWER
Work equipment kept suitable, maintained, and inspected where deterioration could cause danger. The employer carries the duty. The inspection is logged on the equipment.
Fire Safety (FSR 2022)
Regulation 10 fire-door checks, carried by the Responsible Person. The scan holds the check, the photo and the self-closer result. Fire door records.
CQC
Regulations 12 and 15: care must be safe, and premises and equipment properly maintained. The registered manager can show the check on the device.
Calibration
The interval comes from your standard or the manufacturer, not from a single UK statute. The record shows the certificate and that the instrument was in date when it was used.
PAT
Electricity at Work Regulations 1989, regulation 4: equipment maintained to prevent danger. The employer carries it. The PAT result and label date sit on the appliance. PAT records.
QR-Inventory keeps the record of the check. It does not discharge the duty. Confirm the scope of LOLER, PUWER, the Fire Safety Order, CQC, your calibration standard and the Electricity at Work Regulations with your competent person. Regulation 10 of the Fire Safety (England) Regulations 2022 applies in England.
