QR-Inventory Ltd ("QR-Inventory", "we", "us", "our") is the data controller for the personal data described in this policy. We are committed to protecting the privacy of our users, and this policy explains what data we collect, why we collect it, and how we handle it.
Your privacy matters
We build a system of record for regulated and safety-critical operations. Trust is the product. We collect the minimum data needed to run the service for you, we process it in line with UK GDPR, and we do not treat your data as an asset of ours to exploit.
What we collect
When you use QR-Inventory, we collect the following information:
- Account information — your name and email address, used to identify your account.
- Inventory data — details of the assets you register, including names, descriptions, categories, serial numbers, photographs, and any other information you choose to record.
- Location data — GPS coordinates captured when you check in an asset, used solely to record the asset's location within your inventory.
How we use your data
Your data is used exclusively to provide the QR-Inventory service to you and your organisation. We use it to display your inventory, record check-ins, and generate reports for your account. We do not use it to build advertising profiles.
Cookies
We set two kinds of cookie, both essential: one to keep you signed in, and one to remember your cookie choice so we stop asking. Neither is used for advertising, analytics or tracking, and we do not load third-party advertising or analytics tags on this site.
We also serve our own fonts rather than loading them from a third party, so viewing these pages does not make a request to Google or any other external service. You can review your choice at any time using the Cookie settings link in the footer.
We never share your data
Your inventory data is yours. We do not sell, rent, trade, or otherwise share your data with any third party. Your asset records, locations, and photographs are never disclosed to anyone outside of your organisation's account.
Data storage and security
All data is stored securely using industry-standard encryption. Access to your data is restricted to authenticated users within your organisation, governed by the roles and permissions set by your administrator. The audit trail behind each asset is append-only, so a record of who did what and when cannot be quietly rewritten — by your team or by ours.
Data retention
We retain your data for as long as your account is active. If you wish to have your data deleted, please contact us and we will remove it promptly. You can also export your records in full at any time, so leaving never means losing your evidence.
