Use cases

One tag.
Every record.

Not so much a sticker as a shiny silver portal to your data. It is a simple concept, and its power is in the simplicity — one scan can make a compliance certificate visible to an end user, let an engineer report an issue, record an inspection, or show emergency contact details for the thing in front of you.

From national multisite operations to a single holiday let.

Walkthroughs, not brochure copy.

Below are the deployments we see most often, and what the tag is doing in each. They range from national, multisite operations to private landlords with a single holiday home — the same record model, at very different scales.

PCI DSS compliance

Payment device tracking. Track and manage card payment devices and PEDs with tamper-evident QR tags. Scheduled check-ins and a complete audit trail evidence that each device is present, sealed and inspected.

For retailers, restaurants, hotels and financial institutions that must hold a payment-device inventory and prove device presence at assessment.

PCI DSS compliance software

Gas safety certification

Landlord and holiday-let compliance. Streamline gas safety certification with instant certificate access for tenants and guests. Schedule inspection reminders and give gas engineers mobile access at the appliance.

Ideal for holiday-let owners, private landlords and commercial properties that need annual gas safety inspections and certificate management.

Gas safety certification software

PAT testing

Electrical safety compliance. Manage portable appliance testing for electrical safety. Upload PAT certificates, schedule testing reminders and give anyone who scans instant access to the documentation.

Built for offices, schools, healthcare facilities and commercial properties where electrical safety matters to staff and visitors alike.

PAT testing software

Fire door compliance

Regulation 10 door checks. QR-tag every fire door for quarterly communal checks and annual flat-entrance-door checks, capturing self-closer results, gaps, seals and photo evidence at the door.

For responsible persons in housing, care and large estates who have to show a fire risk assessor when each door was last checked, and by whom.

Fire door compliance software

Equipment & tool hire

Rental equipment management. Give every hire item instant access to its certifications, compliance inspections, instruction manuals and emergency support contact details — one scan, no phone calls.

Built for construction companies, contractors and rental businesses that need documentation to travel with the equipment.

Equipment & tool hire tracking

PPE & training compliance

Mandatory safety check-out. Enforce PPE and training compliance with a check-out step at the asset. Verify training records before equipment is released and remind employees of the protective equipment required.

For construction sites, manufacturing facilities and any workplace where equipment needs special training and PPE before use.

PPE & training compliance software

Facilities management

Asset tracking and compliance. Run the whole estate from one register — inventory, servicing schedules, compliance certification and expenditure tracked against each asset rather than across three systems.

Ideal for facilities managers looking after plant, machinery, equipment and building infrastructure across multiple buildings.

Facilities management software

Compliance management

Every regime, one register. Define the compliance types you hold duties for, set each frequency, and let every asset inherit its schedule. Reminders chase the work; the evidence files itself against the asset.

The hub for teams that answer to more than one regime and need a single, defensible view of what is in date and what is not.

In the field

The operations these tags end up on.

Not every deployment starts with a named regime. Often it starts with a workshop, a depot or an IT cupboard where nobody can say what is where, or when it was last looked at.

Car leasing operations

Workshops and maintenance. Metalised, tamper-evident labels configured by you, printed with your company name alongside the QR code, turn a fleet stock-take into a walk with a phone.

You choose whether asset data appears on scanning with or without a login — or split it, so a casual scan shows base details while an authenticated user sees compliance certificates and purchase data.

National hospitality groups

Asset tracking and compliance across hundreds of sites. Teams get immediate access to compliance certification and the schedule of inspections still to come, without asking head office for a copy.

Scan the tag once it is in place and the uploaded certificates and next scheduled inspection are there. Administrative users upload new certificates straight from a phone.

Infrastructure teams

Plant and machinery management. From tagging the plant to keeping inspection certificates available on site for audit, the register travels with the equipment rather than sitting on a server.

Inspections are scheduled by asset type with reminders sent automatically to your support partners. Once inspected or serviced, the documentation is uploaded on site, immediately.

IT departments

Equipment and compliance tracking. Whether you are working towards a PCI DSS assessment, Cyber Essentials, or simply need to know what you own, even the smallest IT department needs an inventory.

Scheduled inspections mean site managers are reminded to check devices in on a cadence you set, with email reminders raised when a check-in is missed.

Holiday lets & private landlords

A single property, the same evidence standard. Guests and tenants scan to see the current gas safety record or electrical certificate instead of emailing to ask for one.

Reminders reach you before the annual inspection falls due, and the engineer who attends can upload the certificate at the appliance.

Schools & public buildings

High asset counts, small teams and an inspection calendar that never stops. Electrical appliances, fire equipment and IT kit held on one register with their certificates attached.

Staff without a system login can still scan an item and see that it is in date — which is usually the question being asked.

FAQ

How the tags work, answered.

What can a QR-Inventory tag actually show?
Whatever the record needs it to. A scan can make compliance certificates visible to end users, let an engineer report an issue, present an inspection to be completed, or simply show emergency contact details for the asset in front of you.
Can a public scan show less than a logged-in scan?
Yes. You choose whether asset data is shown without a login, and you can split it — a casual scan gives the base details about the item, while an authenticated user sees compliance certificates, purchase data and the full history.
Are the labels durable enough for plant and outdoor assets?
The labels are metalised and tamper-evident, printed with your company name alongside the QR code, and leave visible evidence if anyone attempts to remove them.
Does it work across multiple sites?
Yes — from national multisite operations to a private landlord with a single holiday home. For multisite operations, site managers are reminded to check their assets in on a schedule you set, with email reminders when something is missed.
Who uploads the certificates?
Anyone you give permission to, from a phone, on site. Administrative users can upload a certificate straight after an inspection or service and it is attached to the asset immediately, with the next inspection date already scheduled.
